Start with the exact ordering code
A missing suffix can change package, temperature grade, packing format or another ordering option. Use the manufacturer code from your approved BOM. Keep the original manufacturer name alongside the code, especially when your purchasing system uses a separate internal reference.
If a line is described only by a family name, add the package or datasheet link and identify who can confirm the final ordering code. This helps avoid a quotation for a similar-looking part that does not meet the build requirement.
- Obsolete or end-of-life parts
- Allocation-limited and long-lead components
- Uncommon packages and difficult-to-find ordering options
What to include in an RFQ
Include the quantity you need now, the required delivery date and the country of delivery. If there is a forecast, show it separately from the firm requirement. A target price is optional; useful detail includes the currency, quantity basis and whether freight is included.
State any date-code restriction, source-document requirement or packaging preference. If the programme prohibits alternatives, say so. If alternatives can be reviewed, identify the engineering approval process before anyone treats a candidate as an acceptable substitute.
- Full MPN, manufacturer and quantity
- Destination and required delivery date
- Package, grade and date-code restrictions
- Documentation needs and substitute policy
Compare offers on the same basis
An enquiry may lead to different quantity, condition or delivery options. Compare the offered ordering code, lot information, price, records and acceptance terms together. Ask which statements are confirmed and which depend on a further check.
Do not equate a catalogue listing with allocated stock. Request confirmation of the quoted quantity and the basis of the proposed lead time before committing. Any inspection or external testing should have an agreed scope, responsibility and commercial terms.
Use sourcing alongside lifecycle planning
For a discontinued line, keep the original notice and the affected ordering codes with your RFQ. A last-time buy and a redesign are different decisions. Your engineering team should approve electrical, package and application suitability for any proposed alternative.
Send your requirement through WhatsApp or email tina@senico-electronics.com. Attach a BOM for multiple lines and mark the priorities, so the conversation can begin with the components that affect your production schedule.
